Scope of Eligibility
Open to permanent employees in a competitive title who work for the Division of Water Supply and Geoscience and meet the requirements below.
Description
Under direction of an Executive Assistant of higher grade or other supervisor in a state department, agency, institution, or college, is responsible for assisting in the execution of the less complex departmental, agency, or institutional functions through the implementation of policy and development, management, and/or control of plans, programs, and operations by employing accepted modern techniques of management; does other related duties as required.
Specific to the Position
The executive assistant will provide executive management assistance to the State Geologist in budgeting, spending evaluations, personnel actions, and purchasing as well as assist the State Geologist in the development, review and interpretation of and tracking of objectives, plans, policies, and procedures as they pertain to the Element. The EA will also assure adequate administrative coverage for the Geological and Water Survey element, independently manage fiscal information for the Element, prepare budget documents, and keep a running balance of all operating accounts. Additional duties include independently managing Element purchasing procedures, contracts, and JFA's, serving as HR, policy, and Travel/Training liaison for the division as well as coordinating all office operations.
Requirements
Applicants must meet one of the following or a combination of both experience and education. Thirty (30) semester hour credits are equal to one (1) year of relevant experience.
Six (6) years of professional experience in program management with responsibility for planning, organizing, coordinating, staffing, reporting, and/or budgeting or in assisting an executive with program development and/or implementation.
OR
Possession of a bachelor’s degree from an accredited college or university; and two (2) years of the above-mentioned professional experience.
OR
Possession of a master’s degree in Personnel Administration, Public Administration, Business Administration, or Psychology; and one (1) year of the above-mentioned professional experience.
NOTE: “Professional experience” refers to work that is creative, analytical, evaluative, and interpretive; requires a range and depth of specialized knowledge of the profession’s principles, concepts, theories, and practices; and is performed with the authority to act according to one’s own judgment and make accurate and informed decisions.
NOTE: All U.S. degrees and transcripts must be from an accredited college or university. All foreign degrees and transcripts must be evaluated for accreditation by a recognized evaluation service by the closing date of this posting. Failure to provide documentation may result in ineligibility.
License
Appointees will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform the essential duties of the position.
